I Couldn’t Afford an Assistant, So I Built One

HOW IT STARTED

I Couldn’t Afford an Assistant, So I Built One

From missed calls and forgotten follow-ups to a fully automated back office — the build that runs Central Valley Process Servers.

24/7

the problem wasn’t the work

Every missed call was a missed client. I’d be in the field serving papers while the phone rang. I’d finish a serve and find emails I hadn’t answered, follow-ups I’d forgotten, invoices that hadn’t gone out.

An assistant would have cost $4,000/month. I had $0 for that. So I built one instead.

before vs. after
Task Before the system Now
Inbound call at 9 PM ❌ Goes to voicemail. Client calls a competitor. ✅ Sarah answers, captures name/phone/email/case details
New client intake ❌ 20-minute email thread. Jesse types everything. ✅ Form → case created → invoice sent. Jesse’s first touch is the field.
Attempt update to client ❌ Jesse types from the field. Often delayed. ✅ Draft auto-built from the case data. Jesse reviews and sends.
Follow-up on unpaid invoice ❌ Forgotten or manually tracked in a spreadsheet. ✅ Auto-flagged in the daily brief. One click to re-send.
Proof of service form ❌ Hand-typed. 30 minutes. Prone to error. ✅ Auto-filled from Notion. Court-ready in under a minute.
End-of-day case status ❌ In Jesse’s head. Not written down. ✅ Live in Notion. Accessible from the field.
